University of Leicester Students' Union

If you are an affiliated society with the Students' Union then you are entitled to book rooms within the Union for society business free of charge.

You have to be a signatory of the society in order to do this.

This is how you go about doing general room bookings:

1. Check availability of space by using Outlook and clicking on the following:

    - Public Folders (at the bottom of your folders on the left hand side of the Outlook screen)
   - All Public Folders
   - Departmental Folders
   - Students Union

- Room Bookings
- Click on the appropriate room

2. Book the room by either coming into Student Development in teh Student Support Centre or by e-mailing student_development@le.ac.uk (please state which society you are from

and what position you hold).

- There are three people who can book rooms for you: Maureen at reception, Beth and Pete.

- We will need to have the following information: room, date, time and any tables and chairs that you will need.

3. You will need to remember the following:

- if you are bringing in food that has not been prepared by the Students' Union then you will need to fill out a food disclaimer.

- if you need chairs and tables setting out then it is your responsibility to inform the Students' Union porters about what you need and how you woul like them to be set up.

- if your event is going on passed a certain time then you may need to enquire about security.

Evening and party room bookings

If you are wanting to have a bar open in one of our rooms, then you will have to talk to Bars and Ents about the offers that they give student groups.

Once you have booked the room you will need to fill in a room booking form that can be obtained from the Bars and Ents office or Student Development.

You will have to inform the porters about any tables or chairs that you will need.
